Taking Patient Notes

There are several ways you can open the patient's notes.

  1. From the 'Patient Details' screen
  2. From the 'Visit History' screen
  3. From the 'Organiser & Calendar' screen
  4. From the 'Home' screen
  5. From the 'Accounting' screen
And the method you choose depends on the activity you are performing at the time.

The workflow for patient visits and note taking is as follows:

  1. The patient books a visit (a visit is created in the system with a status of 'Booked')
  2. The patient comes in to the clinic for treatment (then the visit is 'Attended' and the notes can be taken)
  3. The notes are taken for the visit and they are saved

 

1. Opening Notes From The Patient Details Screen

Step 1
Click on the 'Patient Details' tab in the main application and either:

2. Opening Notes From The Visit History Screen

Step 1
Click on the 'Patient Details' tab in the main application and either:

Click on the 'Visit History' sub-tab beneath.

Step 3
Find the required visit and double-click to open the patient notes.

3. Opening Notes From The Organiser & Calendar Screen

Step 1
Click on the 'Organiser & Calendar' tab in the main application.

Step 2
Right click on an appointment that corresponds to a patient visit and click on the 'Patient/Patient Notes' menu.

4. Opening Notes From The Home Screen

Step 1
Click on the 'Home' tab in the main application.

Step 2
Click on the 'Patient Notes' link to the right of the patient visit in the list.

5. Opening Notes From The Accounting Screen

Step 1
Click on the 'Accounts' tab in the main application.

Step 2
Right click on an invoice in the list which corresponds to a visit invoice (a type of VisitPatient or VisitContact) and click on the 'Patient/Patient Notes' menu.

Taking Patient Notes

Step 1
When you have the patient notes screen open select the visit you wish to take the notes for and click the 'Create Notes' button to create an empty set to fill in.

Note: Normally you can only 'create' your own notes. If you are in a multi-practitioner clinic and the booking belongs to another practitioner you will need to re-assign it through the 'Appointment Details' window and the 'Owner' drop down list at the top before you can 'Attend' the visit.

There is another option where you can assign the security permission 'Patient Notes - Notes Administrator' but this should be done with caution as it will permit the user free access to create/delete/modify any set of patient notes in the system.

Taking patient notes for a specific visit

Step 2
When you click the 'Create Notes' button you will need to pick the patient notes template you wish to use. This list will remember your last selection to make it easy for next time.

After you pick the patient notes template to use an empty set of tabs will be created for you to enter in the details of your patient's visit.
